What to put on a monthly calendar, and what not to
A month grid is excellent for things that happen at a fixed time and terrible for planning work. Appointments, deadlines, birthdays, travel and anything you need to see coming belong here. Tasks do not, a to-do written in a date box on the 14th is invisible on the 13th and forgotten on the 15th.
The usual setup is a calendar on the wall for fixed commitments and a weekly planner on the desk for the actual work. Add a habit tracker for daily repeats, which a calendar handles badly because every day looks the same.
Week numbers and why they exist
ISO 8601 numbers the weeks of the year 1 to 52 or 53, with week 1 being the one containing the first Thursday of January. Manufacturing, logistics, construction and much of European business quote schedules by week number rather than date, so a calendar without them is hard to reconcile against a project plan. Turn the column on and each row is labelled.
Layout choices that matter
- Landscape if you write on the calendar. Each box gets roughly twice the width.
- Weekend shading makes the week structure readable from across a room.
- Notes column for goals and reminders that belong to the month rather than a specific date.
- Lighter line colour if you will write in pen, a dark grid competes with your handwriting.
Printing a full-year set
Set your preferences once, then step through the months and print each. Twelve sheets punched into a slim binder gives you a year planner for the cost of paper. If you are punching, widen the page margin first so the holes do not clip the grid.
Print at 100% with “Fit to page” off. The calendar is vector geometry in millimetres, so at true scale the printed boxes match the preview exactly.
